Where do differences begin?

An unrecorded delivery, damaged item or return can change what is physically available. Shared shop and online stock adds another source of movement. List every route by which a product enters or leaves your saleable stock.

Who records each movement?

Name an owner for receiving, sales adjustments, returns and write-offs. Define when the record must be updated. If the task belongs to “whoever is free”, it is difficult to investigate a mismatch later.

How should you count stock?

Use a repeatable count process and record discrepancies. Frequent checks on fast-moving or troublesome items can reveal patterns. A count is a verification step; it does not explain the cause unless you review the associated movements.

What happens when a picker finds no stock?

Pause the exception long enough to establish the actual quantity and contact the responsible person. Follow your customer policy for an approved replacement or removal. Update the record so the next customer does not encounter the same issue.

What should the system demonstrate?

Ask to see quantities, incoming and outgoing movements, purchase records and returns. Specialist requirements such as batch or expiry tracking need their own demonstration; do not infer them from the existence of a stock field.
